Klaviyo smart sending is a frequency cap: it skips a marketing message to any profile who already received one from you inside a set window, 16 hours by default for email. It is one of the quieter levers in any email marketing programme, because it decides which of your scheduled sends never reach a given profile, and nothing in a flow diagram or campaign calendar shows it.
The usual advice is "leave it on". That is right for most campaigns and wrong for some flow emails, and the difference only shows up when you lay your sends on a timeline. This post does that, then gives a message-by-message decision table based on Klaviyo's own help documentation, checked in October 2026.
Quick Answer
Klaviyo smart sending skips a marketing message to anyone who already got one from you on that channel inside the window: 16 hours by default for email, 24 hours for SMS and push. Skipped messages are not rescheduled, and transactional messages are exempt. Keep it on for campaigns; check it on every flow email, because a 2-hour abandoned-cart gap sits well inside a 16-hour window.

Request a flow reviewKlaviyo Smart Sending: What the Window Does
Klaviyo smart sending limits how many marketing emails, SMS messages or push notifications one profile can receive within a set period, and it enforces the limit by skipping messages rather than delaying them. According to Klaviyo's help centre, the default window is 16 hours for email and 24 hours for SMS and push.
SMS and push keep separate windows for campaigns and for flows. Each channel is managed independently, so an email does not block an SMS to the same person on the same day.
| Channel | Default window | Scope |
|---|---|---|
| 16 hours | One window across campaigns and flows | |
| SMS | 24 hours | Separate windows for campaigns and flows |
| Push notification | 24 hours | Separate windows for campaigns and flows |
You change the smart sending window in Settings, under Email > Sender preferences (or SMS > Sender preferences, or Push notifications > Sender preferences), which is also where the account-level Klaviyo smart sending settings for each channel sit. A change only applies going forward: profiles already counting down keep the original duration. Klaviyo's guidance is blunt about the default: it recommends keeping smart sending turned on for most marketing emails.
When the Window Starts and What It Ignores
The window starts when Klaviyo attempts to deliver a marketing message to a profile, and it counts attempts that fail after leaving Klaviyo, such as bounces and carrier filtering. A profile skipped for some other reason does not start the clock.
Three consequences follow for how you plan sends:
- It only touches marketing messages. Transactional messages are never skipped, and receiving one does not stop a later marketing send. That makes the "transactional" flag worth getting right in your order-confirmation and shipping flows.
- Skipped means gone. Klaviyo does not reschedule a skipped message. For email you can resend manually; for SMS and push, manual is the only route.
- A fully skipped A/B test is cancelled. If every recipient in the test pool is skipped, the test is cancelled automatically.
Takeaway: skipped is not delayed
A message that Klaviyo skips for smart sending is not queued for later. If a campaign matters, check how many profiles were skipped before you assume the send reached your whole audience.
A Worked Timeline: Which Sends Disappear
A 16-hour window is longer than most people picture, because it spans an entire working day and runs well into the night. The arithmetic is simple, but it is rarely written down for a real send calendar.
Two timelines, 16-hour email window
Welcome flow plus campaign. A new subscriber gets the welcome email at 09:00. The window runs to 01:00 the next day. Your 17:00 newsletter is skipped for that profile.
Abandoned-cart gap. Klaviyo's suggested abandoned-cart timing is an email immediately, a second after 2 hours and a third after 1 day. The first-to-second gap is 2 hours, far inside 16. By the window's own definition, a second email with smart sending on is skipped for anyone who received the first.
The second case is the one that costs money. The reminder you scheduled for the profiles who ignored the first email never sends, and nothing in the flow diagram looks wrong. This is an inference from how the window is defined, not a documented warning, so test it: build a profile that triggers the flow and watch which messages arrive.
Which Messages Should Keep the Skip Rule
The right setting depends on the job the message does: a message that competes for attention should keep the cap, while a message that responds to a customer's own action usually should not. The table is a working framework built from Klaviyo's documented behaviour, not a Klaviyo rule.
| Message type | Setting to start with | Why | Best for |
|---|---|---|---|
| Regular newsletter or promo campaign | On | Klaviyo recommends it; protects against stacking two sends | Most campaigns |
| Abandoned cart and browse flow | Check each email; consider off for reminders | Reminder gaps of hours sit inside the window | Stores with cart flows |
| Welcome series | Check against your first campaign | Suggested gaps of 1 and 3 days clear the window, so the risk is a campaign landing on the same day | New-subscriber capture |
| Order confirmation, shipping, receipts | Mark as transactional | Transactional messages are never skipped | Order-driven flows |
| Win-back and post-purchase | On | Wide gaps (weeks) rarely collide; the cap guards against overlap with campaigns | Long-gap flows |
| SMS | On, 24-hour window | Channels do not block each other, so a text can still follow an email the same day | Promotional texts |
Do not mark a promotional email as transactional to dodge the cap. The exemption exists for messages that deliver something the customer already asked for, and promotional content disguised as one is a deliverability and compliance problem, not a settings trick.

Klaviyo flow smart sending is set on each individual email, so one flow can hold emails with the cap on and emails with it off. Klaviyo's guidance on flow frequency says to check the setting on each flow email rather than assuming it is off, and it is enabled in many pre-built flows.
In the flow builder, click the email, open Settings in the sidebar, and look for the option labelled "Skip recently emailed profiles". Ticked means the cap applies; clear it to switch the cap off for that email. Save before you leave.
Cloned and pre-built flows deserve a second look before you switch them on. Settings travel with the template, so an abandoned-cart flow that came ready-made may carry smart sending on emails where you would not choose it. Pair this with a look at email automation workflow mapping, so you see the whole flow before you edit single emails, and with email automation for SA stores for the flows worth building first.
Takeaway: audit before you activate
Open every email in a pre-built or cloned flow and read its smart sending setting before the flow goes live. The cap is set per message, so a flow can behave differently from one email to the next.
Peak-Week Sends: Plan for the Skipped Audience
Peak-week calendars are where a 16-hour window hurts most, because two planned sends land inside one window. Many South African retailers stretch Black Friday into a longer run of early-bird deals, so a store emailing several times a week inside that stretch will see profiles skipped on the second send.
Three ways to handle it, all within what Klaviyo documents:
- Space campaigns beyond the window. Two campaigns more than 16 hours apart do not collide. Give the second a different angle, not a repeat of the first.
- Keep the cap on and accept the skip. For a general promotion this is the safer default, because the profiles skipped are the ones who just heard from you.
- Turn it off for one message only when a deadline demands it, and note that sending with it off resets the timer for that profile.
Plan the calendar first, then the settings. Our guide to Black Friday email marketing covers the sequence itself, and the email marketing audit checklist is the place to log what you changed.
Send-Time Optimisation Answers a Different Question
Klaviyo Smart Send Time is a separate feature that tests which hour your audience engages most, while the frequency cap decides whether a message goes at all. Klaviyo draws the line itself: one keeps you from bombarding customers with too many emails, the other is a series of tests to find the best time to send.
It is email only, it tests in each recipient's time zone, and it falls back to your account time zone when it is unsure. It also has entry conditions that smaller SA lists may not meet: Klaviyo says you must be able to send campaigns to an audience of 12,000 people or more, and it cannot be combined with A/B tests or follow-up emails. Klaviyo also advises against it for time-sensitive offers, sales or coupons.
For a smaller list, a manual approach works: compare engagement by send hour across your own campaigns, and fix a slot. Our guide on email preheader text covers another cheap lever to test once timing is settled.
Why South African Businesses Choose Growth Pulse Media
Growth Pulse Media is run by Dirk van Greuning, who built and scaled a large South African ecommerce business before founding the agency. GPM is a registered Shopify Partner and an Omnisend Certified Partner, all work is executed in-house, and the client load is limited so senior attention stays on each account.
The habit of laying sends on a timeline carries over to other platforms, even though the defaults differ, and it is part of how our email marketing service approaches a send calendar. If you are still choosing a platform, Klaviyo vs Omnisend and Klaviyo pricing for South Africa set out the trade-offs.

Frequently Asked Questions
What is Klaviyo smart sending?
Klaviyo smart sending skips a marketing message to a profile who already received one from you inside a set window. The email default is 16 hours, and the SMS and push default is 24 hours. It applies to marketing messages only.
Does Klaviyo smart sending delay or skip messages?
It skips them. Klaviyo does not reschedule a message skipped by smart sending, so check the skipped count on important sends and resend manually if needed.
How do I turn off smart sending in a Klaviyo flow?
Click the flow email, open Settings in the sidebar and clear "Skip recently emailed profiles", then save. The setting is per email, so repeat it for any other message in the flow that needs it.
Are transactional emails affected by smart sending?
No. Klaviyo says transactional messages are never skipped, and receiving one does not stop a later marketing send. The message must be marked transactional in Klaviyo for the exemption to apply.
Is smart sending the same as Smart Send Time?
No. Smart sending caps how often someone is messaged, while Klaviyo Smart Send Time tests the best hour to send an email. Smart Send Time needs an audience of 12,000 people or more.
