WhatsApp marketing for moving companies means running enquiries, photo surveys, quotes, deposits and move-day messages through one WhatsApp number, then asking each finished customer for a review or a referral. A removals customer buys once every few years, so the channel pays back as a quote desk first and a list second. The WhatsApp marketing guide for South Africa covers the channel for any industry; this post applies it to a business that loads a truck against a date.
Meta does not charge for ordinary replies inside a chat the customer started, and that is where the enquiry, survey and quote happen. The catch for movers is timing: a move is often booked weeks ahead, so on the API the 24-hour window will have closed by the time a reminder is due, while on the free app you simply message by hand with no template rule. This post prices that gap in rand, sets out what a quote chat must collect, and shows how the Consumer Protection Act and POPIA limit the deposit and the follow-up.
Pricing and policy pages were read in October 2026. Where Meta's own page did not show a figure, the text says whose number it is.
Quick Answer
WhatsApp marketing for moving companies works as a survey-to-move-day desk: photos or a video walk-through fix the volume, a written quote holds the price, and a deposit message holds the date. Stay on the free Business app while your volumes are modest. Move to the paid API when you want automatic reminders. On provider-reported South African rates, four templates sent after a chat window has closed cost about R1.52 before VAT for one move, about R1.75 with it; confirm on Meta's rate card.

WhatsApp Marketing for Moving Companies: The Move Lifecycle in One Chat
The move lifecycle is the sequence from first enquiry to review request, and WhatsApp has a job at each of its seven stages, so the useful messages follow the truck rather than a promotional calendar. WhatsApp for moving companies fits because the channel is where customers already are: Meltwater's 2025 report on South African social media puts WhatsApp use at 93.8% of active social media users (a share of active social media users, not of all adults).
| Stage | What the message does | Tool that fits | Best for |
|---|---|---|---|
| Enquiry | Greets, asks for the two suburbs and the date | Greeting message, quick replies | Capturing the brief before the customer calls the next mover |
| Survey | Asks for room-by-room photos or a short video, plus access details | Saved quick reply, label "Survey received" | Pricing the volume without a site visit |
| Quote | Sends the written quote with an expiry date | Normal reply inside the open window | Giving the customer something to accept |
| Deposit and date hold | States the deposit, the deadline and the change cut-off; customer replies to accept | Quick reply, label "Awaiting deposit" | Holding the date and creating a record |
| Move week | Confirms the date, the arrival window and what to leave unpacked | Manual message on the app; a utility template on the API once the window has closed | Stopping "are you still coming?" calls |
| Move day | Sends the crew leader's contact and an arrival time | Manual message on the app; a utility template on the API once the window has closed | Cutting day-of phone traffic |
| After the move | One thank-you and one request for a review or a referral | One live reply; anything promotional needs consent or the POPIA s69(3) customer conditions | Word-of-mouth and repeat corporate work |
Most stages are service messages: enquiry, survey, quote, deposit, move week and move day. Two are marketing-category in practice: the quote follow-up after the customer has gone quiet and the review or referral request after the move (see the cost and permission sections). On the API, once the customer's 24-hour window lapses, even a plain reminder needs a template; the free app has no such rule. If your enquiries come from paid search, Google Ads for moving companies covers how they arrive; this post covers what happens once they land in the chat.
Build around the move date
A removals message earns its place when it moves the customer one step closer to a loaded truck: a survey, a signed quote, a deposit, a confirmed arrival window. A message that does none of those is one you can skip.
What Must a Moving Quote Chat Capture Before You Price?
A moving quote chat is a short scripted exchange that collects every input the price depends on, so the figure you send is the figure you can load to. Good WhatsApp quotes for moving companies are firm because the survey came first. The script lives as saved quick replies, sent in a fixed order, so nobody scrolls back through a thread to find the floor number.
According to the page of one South African mover, The Mover (as shown in October 2026), a customer asking for a WhatsApp quote sends where they are moving from and to, the date, and a list or photos of what they have, plus the access details that change a price: floors, lifts, stairs, estate gates and where a truck can park. That is a sound minimum.
Capture eight items: pickup and delivery suburbs, move date and how flexible it is, access at both ends (floors, lift, stairs, estate gate rules, truck parking), an inventory by room from photos or video, heavy or awkward items such as a piano or a safe, whether you pack or the customer does, storage between addresses, and whether the customer wants transit cover. Label each chat "Survey received", "Quote sent", "Awaiting deposit", "Confirmed" or "Done" so the status shows at a glance.
The survey step is also a consumer protection. Execu-Move, a South African moving company, writes on its blog that a firm quote based only on a brief WhatsApp message, without detailed questions about access or fragile items, marks a rogue operator. That is one mover's opinion, not a regulation, but it describes what a careful customer now looks for.
Survey request (structure): "Thanks, [name]. To quote the move from [suburb] to [suburb] on [date], please send a photo of each room and anything large or fragile, and tell us the floor, lift or stairs, and where a truck can park at both addresses. A two-minute video walk-through works too. We will send a written quote that holds until [expiry date]."
Vague version: "3 bedroom house, Joburg to Durban, how much?" answered with "around our usual rate, let us know." No inventory, no access, no date, and no price the customer can hold you to.
Saved replies cover the repeat questions, and WhatsApp Flows can turn the brief into a structured form on the API side. For screening out enquiries that are not worth a survey, see WhatsApp lead qualification.

Which Setup Fits a Two-Truck Operator, a Regional Mover or a Corporate Relocator?
WhatsApp Business for moving companies starts with the free, phone-based app, and the API (the WhatsApp Business Platform) is the paid route for larger sends and automation, so the right one depends on how many moves you book and who answers the phone. According to WhatsApp Business, the app includes a catalogue, labels, quick replies, a greeting message, away messages, business broadcasts and up to 10 linked devices and agents.
Ten linked devices suit a removals office, where the person on the truck is not the person quoting. The owner's phone, the dispatcher's phone and a tablet at the depot can all work one number, which keeps the customer talking to one business rather than three cellphones.
A broadcast list on the app reportedly holds up to 256 contacts, and recipients must have saved your number, according to Lilach Bullock's summary of the broadcast limit, which also notes no cap on the number of lists. That is a secondary source; WhatsApp's own help page was not read in full.
| Your operation | Business app | API | Best for |
|---|---|---|---|
| One or two trucks, mostly household moves, owner quotes | Yes: labels per stage, saved survey and quote replies | Not yet | Owner-run, referral-driven |
| Regional mover with a dispatcher and several crews | Yes, with linked devices and labels; reminders sent by hand | When move-week and move-day messages should go out automatically | Teams where more than one person answers |
| Corporate or office relocator, long lead times | Works for quoting; hard to track many projects in one inbox | Yes: templates reach opted-in contacts, billed per message | Office moves with several stakeholders and fixed dates |
| Several depots or franchise branches | Hard to keep consistent | Yes: shared inbox and system links | Multi-branch operations |
For a closer comparison, read WhatsApp Business app versus API. If you go the API route, message templates explains how the pre-approved wording works, and a set of WhatsApp templates for moving companies will usually cover just four messages: a quote follow-up, a move-week reminder, a move-day confirmation and a review request.
The honest default
For most removals businesses, WhatsApp marketing for moving companies should start on the free app: it handles the survey, the quote and a modest opted-in list. Pay for the API when a specific job demands it, such as automatic move-week confirmations or a project-managed office relocation with many contacts.
How Should a Deposit and Cancellation Message Be Worded?
A deposit message is the part of the quote chat that records what the customer agreed to, so it must state the amount, the deadline, the change and cancellation terms and a reply the customer sends to accept. A moving date cannot be resold once the truck and crew are committed to it, so the wording of the terms carries real weight.
South African consumer law backs the practice: under section 17 of the Consumer Protection Act (CPA), as quoted in an Obiter note on the section, a consumer has the right to cancel an advance booking, reservation or order, and the supplier may require a reasonable deposit and impose a reasonable cancellation charge.
The same note lists what makes a charge unreasonable: it exceeds a fair amount in the circumstances, having regard to the nature of the services booked, the length of notice given, the supplier's reasonable potential to find another customer between the cancellation and the date, and the general practice of the industry. Reading those factors, a flat "deposit is non-refundable" line may not hold up by itself; that is an inference from the section's wording, not a ruling.
On size, Execu-Move writes that a deposit of 10% to 20% is common practice to secure a moving date and that 50% or more upfront is a warning sign. Treat that as one mover's view of the market, not a legal limit.
Deposit message (structure): "Your move on [date] is held once the deposit of [amount] reaches us by [deadline]. If you cancel [n] or more days before, we keep [x]; inside [n] days, we keep [y], because the truck and crew are reserved against your date. Changes to the inventory or access after the survey may change the price. Reply YES to accept these terms."
That wording ties the charge to notice, one of the section 17 factors, and it states what happens if the load turns out larger than the photos showed. Set the amounts against your real costs. The section 17 text here comes from a secondary note, because the Act itself could not be fetched.
The CPA also does not cover every customer. Section 5(2)(b) excludes a juristic person (a company, for example) whose asset value or annual turnover is at or above a threshold the Minister set, according to a government statement on the threshold. A company relocating its offices may therefore fall outside section 17 and be governed by your written terms, while a smaller company below the threshold stays covered. This post does not print the threshold amount. Have an attorney check your terms. This is not legal advice.
Put the terms in the chat
For removals bookings, the deposit message should carry the amount, the deadline, the cancellation basis and a line on what changes the price, and the customer should reply to accept. That reply gives you a written record of what was agreed; how far it would be enforced depends on the terms and the facts.
What Does the API Cost for One Move?
One move costs about R1.52 before VAT on the API, on provider-reported rates, if the four templates are sent after the customer's window has closed; the free app has no per-message charge. Meta bills per delivered template: according to Meta's pricing documentation, "You are only charged when a template message is delivered", and utility templates sent inside an open 24-hour customer service window are free. The page does not list the rand among its billing currencies, and as fetched it groups South Africa under Rest of Africa pricing without showing a figure, so the rate has to be checked on Meta's rate card.
Two providers, A2Z Tech and ChatMaxima, report South African rates from 1 October 2026 of US$0.0379 for a marketing message and US$0.0095 for a utility message. A2Z Tech says the utility rate rose 25% on that date, from US$0.0076. It converts those to about R0.608 and R0.152 at its 3 September 2026 exchange rate, and 15% VAT applies on top, according to ChatMaxima. Treat them as provider-reported until you have seen the rate card.
Category decides the price, and Meta sets it by content. Its template guidelines classify a template that mixes utility and promotional content as marketing, and say Meta may recategorise an approved utility template. A reminder that says only the date and arrival window is utility in spirit; add a line about a storage offer and it is marketing. Budget a quote chaser and a review request as marketing, because both push the customer to act or to promote you.
Providers disagree on one point. A2Z Tech reports that utility templates sent inside an open window also become chargeable from 1 October 2026, while ChatMaxima and Meta's page, as fetched, say they are free. The figures below cover messages sent after a window has closed only, so they hold either way.
Ads change the window. A chat started from a Click-to-WhatsApp ad opens a 72-hour free window from your first response, in which any message type is free, according to Meta's page. A mover running those ads has more room before a template is needed; the set-up is in click-to-chat ads in South Africa.
| Message outside an open window | Category | Rate (before VAT) | Best for |
|---|---|---|---|
| Quote follow-up after the 24 hours have lapsed | Marketing | R0.608 | Quotes that went quiet |
| Move-week reminder with date and arrival window | Utility | R0.152 | Booked moves |
| Day-before crew confirmation | Utility | R0.152 | Reducing day-of calls |
| Review or referral request after the move | Marketing | R0.608 | Word-of-mouth |
| One move, all four | Mixed | R1.52 | An illustrative booking |
The arithmetic
One move: 2 × R0.608 + 2 × R0.152 = R1.216 + R0.304 = R1.52 before VAT, and R1.52 × 1.15 = about R1.75 with VAT. At 30 moves a month, a working assumption rather than a benchmark, that is 30 × R1.52 = R45.60 before VAT, or R52.44 with VAT. These are Meta's per-message charges only, not any provider's platform fee, and they drift with the exchange rate because Meta bills in dollars.
A referral push is the larger line. One marketing template to 600 opted-in past customers costs 600 × R0.608 = R364.80 before VAT, or R419.52 with VAT. On the free app those 600 contacts would need three broadcast lists (600 ÷ 256 is about 2.3), and each would reach only the people who saved your number, so the API's reach is what you pay for.
The calculation shows that message cost is rarely the obstacle for a mover. One confirmed move covers months of templates, and the cost that matters is keeping the list clean. For the full price list, see WhatsApp Business API pricing in South Africa.
Budget per move, in rand, with VAT
For a mover on the API, the cost of a move is four small template charges, not a platform bill, and it moves with the dollar exchange rate because Meta bills in dollars. Check Meta's rate card on the day you commit, and budget a quote chaser and a review request as marketing.

How Do You Get Permission for Reviews, Referrals and Repeat Work?
In South Africa, a promotional WhatsApp message to a past customer is direct marketing by electronic communication under POPIA section 69, which prohibits it unless the person has consented or is your customer under the section 69(3) conditions. The text on popia.co.za covers "any form of electronic communication", and the customer route requires that you obtained the details in the context of a sale, market your own similar services, and gave a reasonable opportunity to object.
A mover meets a trap here: an enquirer who asked for a quote has not bought anything. Treat them as a non-customer until they book. Section 69(2) allows a responsible party to approach a data subject only once to request consent, and MJK Inc's summary notes that opt-out does not constitute consent and that, since the April 2025 amendments, the request may be made over WhatsApp.
That has a consequence for the quote chaser priced above. A marketing-category template to an enquirer who has not consented is a section 69 risk. The safer route is a normal reply inside the open window, which Meta does not charge for. After it closes, send the chaser only to someone who agreed to it, so ask in your first reply whether they are happy for you to follow up the quote here, as a separate line they can decline.
On the booking confirmation: an unticked option, "Send me a reminder and a short feedback request on WhatsApp after the move", separate from the acceptance of your terms.
After the move: ask once, in the thank-you reply, whether the customer will leave a review or pass your number to someone who is moving, as a request they can decline. Whether a review request counts as marketing your own similar services under section 69(3) is arguable, so the consent tick box above is the safer route.
Do not: add every quote enquirer, or every estate-agent contact who once sent you a lead, to a broadcast list. An opt-out is not consent, so "they never said stop" is no defence.
Section 69(4) requires every promotional message to identify the sender and give an address for stop requests, so name your removals business and say how to opt out. This post found no source exempting business numbers, such as an office manager's, so treat them like consumers' numbers unless an attorney advises otherwise. Details are in POPIA for marketing, and list-building tactics are in opt-in strategies. This is not legal advice.
The sister posts on WhatsApp marketing for caterers and WhatsApp marketing for bakeries apply the same rules to other businesses that sell against a date.

Who This Is NOT For
This post is not for movers who quote without a survey, anyone messaging a bought list, or owners wanting a promised booking count.
Movers who want to quote without a survey. If you price from one line of text, WhatsApp will speed up the mistake. The survey step is the point of the channel.
Anyone planning to message a bought or scraped list. Without consent or the section 69(3) conditions, a promotional send is a POPIA problem, whatever the platform allows.
Owners wanting a promised booking count. Every cost here is a provider-reported rate or a calculation from one, and the monthly volumes are working assumptions. Nothing in this post forecasts bookings.

Frequently Asked Questions
How can a moving company use WhatsApp to win more bookings?
A moving company wins more bookings on WhatsApp by answering enquiries fast with saved replies, asking for photos or a video before pricing, and sending a written quote with an expiry date. A deposit message that the customer accepts by reply then holds the date.
Is the WhatsApp Business app free for a removals business?
The Business app is the free, phone-based route, with a catalogue, labels, quick replies, greeting and away messages, broadcasts and up to 10 linked devices. The paid API is a separate product that bills per delivered template message.
Can a mover quote accurately over WhatsApp?
A mover can quote accurately over WhatsApp when the chat collects both suburbs, the date, access details and room-by-room photos or video first. One South African mover writes that a firm quote from a brief message alone, without questions about access or fragile items, marks a rogue operator.
How much does WhatsApp cost per move on the API?
Using provider-reported South African rates from 1 October 2026, a quote follow-up, a move-week reminder, a day-before confirmation and a review request sent after a chat window has closed cost about R1.52 before VAT and about R1.75 with 15% VAT. These are provider-reported figures, so check Meta's rate card, because it bills in dollars.
Do I need permission to send reviews and referral requests on WhatsApp?
Yes: consent, or the POPIA section 69(3) customer conditions. A quote enquirer who has not booked is not yet a customer, so ask for consent once. Name your business in every message and give a way to opt out.
