WhatsApp marketing for accountants is the use of WhatsApp to chase client documents, confirm appointments, announce deadlines and, with consent, promote extra services. For a practice, it is mostly service messaging tied to the SARS calendar, with a thin layer of promotion on top. This post is a practice-level application of our WhatsApp marketing guide for South Africa.
The same logic holds whether you run a sole practice, an accounting firm or a tax-practitioner business: WhatsApp reminders for accountants are operational, and promotion is the exception. The decisions that matter are narrow: which messages count as direct marketing under POPIA, which ones WhatsApp bills as marketing, and when the free Business App stops being enough. The sections below answer each one using SARS, Meta and the Act itself, not guesswork.
Quick Answer
WhatsApp marketing for accountants works best as deadline and document reminders to existing clients, sent from a Business App number you control, with promotional messages limited to people who have opted in. The free Business App suits a small practice. Once you need to broadcast to more than 256 people at a time, look at the WhatsApp Business Platform (API); if several staff must share one number, check multi-agent options first.

WhatsApp Marketing for Accountants: What It Actually Covers
For an accounting practice, WhatsApp covers three different kinds of message, and each is treated differently by the law and by Meta's price list. Separating them is the single most useful thing you can do before sending anything.
| Message type | Example | Treatment | Best for |
|---|---|---|---|
| Service reply | Answering a client who asked what you still need for their return | Free for the business when you respond to a customer inquiry, per WhatsApp's pricing page | Day-to-day client questions |
| Operational reminder | "Your provisional tax figures are due to us by Friday" | On the Business Platform (API), a delivered template message is billed by category, and utility templates are free inside the 24-hour window; per-message category pricing is a Platform mechanism, not a Business App one | Deadlines and document requests to current clients |
| Promotion | Announcing a bookkeeping package or a payroll add-on | On the API, billed as a marketing template; under POPIA s69 it is direct marketing, so consent or the existing-customer exception applies | Opted-in clients and prospects only |
A reminder about work a client has already engaged you for is operational. The moment it also pitches another service, it is promotion in both senses. That is a practical reading, not legal advice, but it is the line to design your messages around.
Getting started with WhatsApp Business for accountants therefore starts with a message inventory, not a tool. Whether the plan is WhatsApp marketing for accounting firms or WhatsApp marketing for tax practitioners working alone, the inventory is the same list of messages sorted into the three rows above.
The wider pattern for regulated and advisory firms is covered in our post on WhatsApp marketing for professional services. Accountants differ because their year is driven by fixed, public deadlines.
Which Messages Belong on the SARS Calendar?
A SARS-calendar message plan assigns each fixed filing window one clear message, so reminders go out because a deadline exists rather than because someone remembered. The 2026 season shows the pattern. The non-provisional window ends on 23 October 2026, so for most individual clients it is done; still ahead are the provisional and trust windows to 22 January 2027, the February provisional payment and the 2027 season, where the same structure applies once SARS publishes its dates.
| SARS window (2026 season) | Message to send | How to treat it | Best for |
|---|---|---|---|
| 1 July to 12 July 2026: auto-assessments (closed; repeats next season) | "SARS has issued auto-assessments. Send us yours so we can check it before you accept." | Operational, current clients | Salaried individuals with simple affairs |
| 13 July to 23 October 2026: non-provisional individuals (season deadline reached; use as the template for 2027) | Document checklist, then a deadline countdown | Operational; no upsell in the same message | Clients you file for each year |
| 13 July 2026 to 22 January 2027: provisional taxpayers (still ahead) | Request for income and expense figures | Operational; staged over the longer window | Sole proprietors, landlords, freelancers |
| 19 September 2026 to 22 January 2027: trusts (still ahead) | Request for trust financials and trustee details | Operational | Trust clients |
| 31 August and last business day of February: provisional tax payments (February payment still ahead) | Payment reminder with the amount you calculated | Operational | Provisional clients |
Source for the filing windows: the SARS Filing Season page. The August date is the first provisional period for a year of assessment starting in March, per SARS provisional tax guidance, and the second falls on the last business day of February.
Clients already expect this channel
SARS's own Filing Season 2026 notice says taxpayers can receive Notices of Assessment and upload documents via WhatsApp. A client who deals with SARS on WhatsApp will not find a document request from you strange. That is a point about familiarity, not a reason to ask for sensitive files over chat; see the confidentiality section below.
WhatsApp Business App or API: Which Fits a Practice?
The WhatsApp Business App is a free app on one phone number, while the WhatsApp Business Platform (the API) is a paid, software-driven service for sending at scale. The choice turns on list size, team size and how many recipients have saved your number.
| Your situation | Fits | Why | Best for |
|---|---|---|---|
| Sole practitioner or two partners, a few dozen filing clients | Business App | Broadcast lists hold up to 256 contacts, and labels and quick replies cover the routine | Small practices |
| Client list well beyond 256, reminders go out to everyone | API | On the app you would need several lists, and broadcasts reach only people who saved your number | Mid-size firms |
| Several staff answering from one number | Check multi-agent setups first | Shared inbox and hand-offs are the main constraint, not broadcast size | Multi-partner firms |
| Prospects who have never saved your number | API with opted-in contacts | App broadcasts reach only contacts who saved your number; API templates go to opted-in contacts, and consent comes first | Firms running a growth plan |
Both broadcast rules for the Business App (the 256 cap and the saved-number requirement) come from this respond.io broadcast explainer. Confirm them against Meta's Help Centre article on broadcast lists before you build a process around them. Our comparison of WhatsApp Business app vs API covers the cost side in more depth.

Does POPIA Allow WhatsApp Messages to Accounting Clients?
Yes for operational messages to existing clients, while promotional WhatsApp messages need consent or the section 69(3) existing-customer exception. POPIA section 69 prohibits direct marketing by any form of electronic communication unless the person has consented or is, subject to subsection (3), your customer.
That wording is broad enough to cover WhatsApp, and the Information Regulator's Guidance Note on Direct Marketing, as ENS summarises it, lists direct messaging on social media among electronic direct marketing. This summary draws on the Act's text on popia.co.za and an ENS summary of the guidance note; we did not retrieve the regulator's PDF.
Four working points follow from the section:
- Consent request: you may approach someone whose consent is needed only once to ask for it.
- Existing clients: you may use details obtained in the course of a sale, only to market similar services, with a free way to object at collection and in every message.
- Every message: it must identify the sender and give a way to ask that the messages stop.
- Legitimate interest: the guidance note says it cannot replace consent for electronic direct marketing; it can apply to non-electronic marketing.
The summary we read does not address whether business contacts are treated differently, so do not assume a B2B exemption. Build your WhatsApp opt-in process and keep a record of who agreed, when and to what, because the responsible party carries the burden of proof.
Confidentiality is a separate duty from marketing
Any plan for WhatsApp marketing for accountants has to respect two duties besides POPIA s69. If you are a SAICA member, the SAICA Code of Professional Conduct sets a fundamental principle of confidentiality; members of SAIPA, SAIT or other recognised bodies should check their own body's code. Separately, POPIA s19(1) requires reasonable technical and organisational measures to secure personal information. Neither rule bans WhatsApp, but both mean you should decide in advance which documents (IDs, bank statements, IRP5s) you accept over chat and which go through a secured channel. That is a practice policy decision, not a rule either text sets.
How Do You Keep Reminder Templates Cheap and Approved?
A reminder template stays in the utility category only when it has no promotional or persuasive content, and Meta's template guidelines say a utility template with any sales offer, upsell or persuasive call-to-action becomes marketing. Mixed content is classed as marketing too.
Bad: reminder plus pitch
"Hi Thandi, your provisional tax figures are due Friday. Ask about our new monthly bookkeeping package, now open for new sign-ups."
Good: reminder only
"Hi Thandi, this is [Practice Name]. Your provisional tax figures are due to us by Friday so we can submit on time. Reply with a question or send what you have. Reply STOP to opt out."
For WhatsApp marketing for accountants, send the reminder on its own and the promotion as a separate message to opted-in contacts. Meta also reviews templates periodically and can recategorise a utility template it judges to be marketing. According to the Meta template guidelines, you get one day's notice, except that accounts flagged for abuse are recategorised instantly with no warning, and you can request a category review within 60 days. Our posts on WhatsApp message templates and why a template gets rejected cover the wording side.
On cost: WhatsApp's pricing page describes per-message pricing for the Business Platform (API), by category and market, with service messages free and utility messages free inside a 24-hour response window. The free Business App is not priced this way. We have not printed a Rand rate because the page publishes rates only through its calculator, so API users should check their own quote.
How Can a Practice Win New Clients Through WhatsApp?
The cleanest route to new clients is a click-to-WhatsApp advert that opens a conversation, because WhatsApp's pricing page makes all messages free for 72 hours after a customer clicks an ad. That gives a prospect three days to ask about tax, payroll or company registration before any template charge applies. Our guide to click-to-WhatsApp ads covers the build.
Side calculation: what a click costs
The SA Digital Cost Index (SADCI) puts the average Meta cost per link click for South African campaigns at R5.12 (US$0.31 at the index's R16.42/USD assumption), as at August 2026. That is the cost of the click only, and no click is yet a conversation, so multiply by the number of clicks you need per enquiry once you know it. Your own figure will differ by audience and offer, so treat the average as a planning baseline, not a forecast.
Searchers with intent are a different audience, and Google Ads for accountants is the route aimed at people already searching, with WhatsApp handling the follow-up. For firms selling to businesses rather than individuals, B2B lead generation for accountants sets out the wider pipeline.

Why South African Businesses Choose Growth Pulse Media
Dirk van Greuning built and scaled a large South African ecommerce business before founding Growth Pulse Media, so the paid-media side is run by an operator. All work is executed in-house, and the client load is limited so senior attention stays on your account.
For the paid side, that means Meta Ads and Google Ads campaigns measured in GA4 and Search Console. The offer for the messaging side is laid out on our WhatsApp marketing service page. If you want a second opinion on a plan first, the audit or consultation is free, with no obligation.
Who This Is NOT For
This approach is not for practices whose plan depends on messaging people who have not agreed to hear from them, or on skipping the confidentiality decision.
Practices that want to blast a purchased list
If the plan is to message numbers you bought or scraped, POPIA section 69 stands in the way, and on the Business App a broadcast to people who never saved your number will not reach them anyway.
Firms that want clients to send everything over chat
If your policy is to accept IDs and bank statements on WhatsApp with no further thought, settle the confidentiality question first. This post will not substitute for that decision.
Practices with a handful of clients and no growth plan
If every client already calls you, the free Business App with quick replies is plenty. Paid platforms and advertising would cost more than they return.
Frequently Asked Questions
The questions below are the ones accounting practices most often need settled before they send a first client message: legality, categories, tooling, cost and document handling.
Can accountants use WhatsApp to message clients in South Africa?
Yes. Operational messages to existing clients, such as document requests and deadline reminders, are routine, and SARS itself uses WhatsApp for Notices of Assessment and document uploads. Promotional messages fall under POPIA section 69 and need consent or the existing-customer exception.
Is a WhatsApp reminder about a SARS deadline direct marketing?
A reminder about work a client has already engaged you for is operational, as a practical reading. Once the same message promotes an additional service, it is direct marketing and section 69 applies. Keep the two in separate messages.
Do I need the WhatsApp Business API as an accountant?
Not necessarily. The free Business App suits a small practice, with broadcast lists of up to 256 contacts. Consider the API when your list outgrows that or when recipients have not saved your number, and check multi-agent options first if several staff must work from one number.
How much do WhatsApp messages cost a practice?
The free Business App is not priced per message. On the Business Platform (API), Meta charges per delivered template message by category and country, while service messages are free and utility messages are free inside a 24-hour response window. API rates appear only in Meta's pricing calculator, so get a current South African quote from your provider.
Can I send tax documents to clients over WhatsApp?
The law does not name WhatsApp, but POPIA s19(1) requires reasonable technical and organisational measures to secure personal information, and the SAICA Code (for SAICA members; other professional bodies have their own codes) sets a confidentiality principle. Decide a written practice policy on which documents go through chat and which through a secured channel.
